Madison is looking for an Administrative Assistant to support the day-to-day operations of the corporate head office. The successful candidate will have a high degree of professionalism in their interactions and communications as a representative of the organization. The successful candidate must also be comfortable in a multi-tasking environment and be a team player in conducting all aspects of the job.
Position type: In office, 8:30-2:30 Monday to Friday, with some flexibility.
What you will be doing:
- Maintain smooth daily office operations for a group of professionals
- Assist with bookkeeping, including posting deposits, generating invoices from accounting system and emailing customers, entering vendor invoices, preparing cheques, preparing expense reports and supporting accounts payable functions
- Provide general administrative support to multiple team members and departments, as needed, including general filing, scanning and photocopying, coordinating signatures, maintaining filing systems and handling confidential information
- Assist with organizing corporate or social events
- Receive and welcome visitors to the office
- Manage the organization and tidiness of the common office areas, including the kitchen and manage office and kitchen supplies
- Answer and direct incoming calls and monitor company general email inboxes, and online portals
- Sort and distribute incoming and inter-office mail, prepare packages for delivery and coordinate courier packages
- Coordinate meetings, including catering and boardroom clean up, as required
- Act as the go-to person for boardroom technology
- Other duties and ad-hoc tasks, as required
What we offer:
- $45,000 - $52,000 per annum, dependent on experience

- Strong verbal and written communication, organizational and time management skills
- Demonstrated ability to manage multiple tasks concurrently with attention to detail
- Ability to consistently meet deadlines while working both independently and with a team
- Proactive go-getter with a positive attitude, looking to be a benefit to the whole office
- High standard of professionalism and integrity in all interactions and ability to keep confidential information
- Proficiency using Microsoft Excel, Word, and PowerPoint, Zoom and Teams video conferencing platforms, and other software
- Experience with general bookkeeping and accounting systems is an asset
- Experience providing administrative support for property leasing activities is an asset
